APAC Endpoint Asset Inventory and Lifecycle Ledger

APAC endpoint asset ledger: field dictionary, lifecycle states, audits linked to support tickets and privacy-aware HQ exports.

Project context

  • Setting: APAC offices (HK / mainland / others as scoped)
  • Scale: Multinational manufacturing or trading offices

Challenge

APAC offices lacked a trustworthy endpoint asset ledger: who has which laptop, warranty state, and refresh eligibility. HQ audits failed on incomplete sheets; local admins tracked via chat. Need a lifecycle ledger joined to outsourcing tickets.

Environment

  • Laptops/desktops/monitors across sites
  • Mix of HQ-standard and locally purchased devices
  • HR joiners/leavers drive churn
  • Privacy: inventory must not become an unauthorized HR dossier

Technical highlights

Ledger fields (recommended)

  • Asset tag · serial (internal) · type · model family · site · status · purchase month · warranty end · last audit
  • Assignee stored as employee ID / role, not full legal name, in exports.
  • Sample rows use synthetic IDs (e.g. USER-xxxx).

Lifecycle states

  • Ordered
  • Stock
  • Assigned
  • Repair
  • Spare
  • Retire — with allowed transitions

Audit cadence

  • Periodic wall-to-wall or sample audits; discrepancies open tickets.
  • Accuracy is reported from actual audit results, not assumed.

Integration with ITO

  • Broken device → ticket → update ledger status.
  • Refresh campaigns pull “warranty end < horizon” queries.

Privacy

  • Exports for HQ or third parties exclude personal names unless authorized.

Implementation steps

  1. Field design
  2. Import legacy sheets
  3. Tag physical assets
  4. First audit
  5. Train local admins
  6. Regular reconciliation with tickets
  7. HQ read-only export

Acceptance

  • Field dictionary approved
  • First audit completed for scoped site
  • Sample HQ export succeeds without PII columns if required
  • Process SOP signed

Deliverables

  • Field dictionary
  • Ledger workbook/system
  • Audit SOP
  • HQ export view
  • Training note

Outcome

APAC endpoint lifecycle ledger established for scoped offices with privacy-aware exports.
